    Exceptional Comfort Services LLC respects your privacy. This policy explains what we collect when you use our website or contact us, how we use and share it, and the choices you have. It applies to our website and to the ways we communicate with you by phone, text message, and email, including calls made with an automated or AI voice assistant.

    Information We Collect

    We only collect what we need to answer your questions and do the work. That includes:

    • Information you give us. When you fill out a form, call, text, or email us, we collect your name, phone number, email address, service address, and whatever you tell us about your HVAC system or request.
    • Call recordings and transcripts. If you speak with us by phone, including with our AI voice assistant, the call may be recorded or transcribed (see "Phone Calls and Our AI Voice Assistant" below).
    • Information collected automatically. Like most websites, ours uses cookies, pixels, and similar technologies that may collect your IP address, device and browser type, the pages you visit, how you reached our site, and online or advertising identifiers (see "Cookies, Analytics, and Advertising Technologies" below).

    We do not knowingly collect information from children under 13, and our site is not directed to children.

    How We Use Your Information

    We use the information you share to:

    • Respond to your questions and requests
    • Schedule, perform, and follow up on service and estimates
    • Contact you by phone, text, and email about your request and your service, including appointment confirmations and reminders
    • Send you information about our services, but only where you have asked us to or agreed to receive it
    • Measure and improve our website and our advertising, and reach people who may need our services
    • Keep records for our own business, tax, and warranty purposes

    Phone Calls and Our AI Voice Assistant

    We and the service providers who help us run our business may contact you by phone at the number you give us. Some of those calls may be placed or answered by an automated or AI voice assistant rather than a live person.

    • Consent. We make automated or AI-voice marketing calls only where we have your prior consent, and that consent is never a condition of buying anything from us. Calls about a request you already made, such as confirming or scheduling an appointment, are handled as service communications.
    • Opting out. You can tell us to stop calling at any time, during a call or by contacting us at the number or email above. If you reply STOP to one of our text messages, that also stops our automated calls to that number.
    • Recording. To help with scheduling, quality, training, and accurate records, calls with us or our AI voice assistant may be recorded or transcribed. If you do not want to be recorded, let us know at the start of the call and we will continue without it where we can, or you can reach us another way.
    • Who's calling. We identify ourselves as Exceptional Comfort Services on the call.

    Text Messaging (SMS) and Your Consent

    If you give us your mobile number and agree to receive text messages, we may text you about your service request, appointment scheduling, confirmations, reminders, and, where you have opted in, occasional updates or offers.

    • Consent is not a condition of purchase. You do not have to agree to receive texts in order to get service from us.
    • Message frequency varies depending on your interaction with us.
    • Message and data rates may apply, depending on your mobile carrier and plan.
    • To opt out, reply STOP to any text message at any time. Words like STOP, END, CANCEL, UNSUBSCRIBE, QUIT, REVOKE, or OPT OUT all work. You will receive one confirmation that you have been unsubscribed, and we will stop texting you. We honor opt-out and revocation requests within 10 business days of receiving them.

    • Opting out of texts also stops our automated phone calls to that number.

    We do not sell, rent, or share your mobile phone number or your SMS opt-in information with any third party or affiliate for their own marketing or promotional purposes. Mobile opt-in data and consent are never shared with third parties for marketing.

    Email

    If you give us your email address, we may email you about your request and your service, and, where you have opted in, about our services and offers.

    • Every marketing email includes a clear way to unsubscribe and our physical mailing address.
    • When you unsubscribe, we stop sending marketing email to that address promptly, within 10 business days at the latest.
    • You can also opt out anytime by contacting us. Opting out of marketing email does not stop the service messages you need, such as an appointment confirmation.

    Cookies, Analytics, and Advertising Technologies

    Our website uses cookies, pixels, tags, and similar technologies, some set by us and some by third parties, to make the site work, understand how it is used, and measure and improve our advertising.

    Analytics and advertising tools we use:

    • Google Analytics, including its Advertising Features. These use first-party cookies or identifiers (such as the Google Analytics cookie) together with third-party cookies or identifiers (such as Google advertising cookies) to understand how visitors find and use our site and to support our advertising. You can review how Google uses data at google.com/policies/privacy/partners/.
    • Google Ads for remarketing and conversion measurement, so we can show our ads to people who have visited our site and see which ads lead to contacts.
    • The Meta Pixel (Facebook and Instagram), which may use pixels, web beacons, and other storage technologies from Meta to measure and target our advertising.
    • We may also use similar measurement or advertising tools from other providers for the same purposes.

    How We Share Your Information

    We do not sell your personal information for money. We share it only in these limited situations:

    • Service providers who help us run our business (for example, our scheduling and customer-management software, our phone, texting, and AI-voice-assistant providers, and our email provider), and only so they can perform that work for us.
    • Advertising and analytics partners such as Google and Meta, through the tools described above. Sharing information with these partners for advertising may be considered a "sale" or "sharing" of personal information under some state privacy laws. You can limit this as described in "Cookies, Analytics, and Advertising Technologies" and "Your Privacy Choices and Rights."
    • Legal reasons, if we are required to by law, a court order, or to protect our rights, safety, or property.

    Outside of those situations, your information stays with us. As stated above, we never sell or share your mobile opt-in / SMS consent data with anyone for their marketing.

    You can always:

    • Ask us what information we have about you
    • Ask us to correct or update it
    • Ask us to delete it, where we are not required to keep it
    • Opt out of text messages (reply STOP), marketing email (use the unsubscribe link), and automated phone calls (tell us, or reply STOP)
    • Opt out of the sale or sharing of your personal information for advertising

    Depending on where you live, you may have the right to opt out of the "sale" or "sharing" of your personal information and of targeted advertising.     We keep your information only as long as we need it for the purposes described in this policy and to meet our legal, tax, warranty, and record-keeping obligations. When we no longer need it, we take reasonable steps to delete or de-identify it.
